Private & Group Classes - General Information & Best Practices 🙋👩‍💻

Private Classes

  • For our internal use, we give students private class credits. Each credit equals 15 minutes:

30 minutes = 2 credits

60 minutes = 4 credits

On the learners’ side, they see hours:

  • The private class booking policy was updated as of April 1, 2025. Learners who have access to private classes can now:

⏳Book private courses up to 4 hours in advance
⏳Cancel their private classes up to 6 hours in advance

This gives learners more flexibility in booking classes around their busy and changing schedules than before.

  • When teachers cancel classes directly, credits for that class should be returned to the learner’s profile. If it doesn’t happen automatically, coaches should give credit back to learners. The cancellation is reflected in the Admin portal as follows:

  • If a learner reaches out informing you that the credits were taken, you can check it in the Admin Portal -> Reports -> Live Instruction -> Private classes:

     

“Credits used for class” field should be zero. If any credits were taken, go to Scuba and add them back to the learner’s profile. The field to use should be “Membership allotted Tutoring Credits:”

  • Please ensure that you report when additional credits are given to your students using Amazon and CAEL documents, regardless of the reason, whether it is due to a teacher canceling a class, technical issues, or as a bonus from EnGen. The CSM reports this information to the client. 

đź’ Criteria for granting additional credits for private classes:

We review each case individually and grant them based on their engagement level, especially if the student attends at least two weekly group classes. The recommendation is to award 2 credits (maximum of 3 times per program), totaling 6 extra credits (1.5 hours as a bonus from EnGen).

đź’ Please avoid assigning learners an odd number of credits, as we currently only offer 30-minute and 60-minute classes, and they would not be able to utilize a 15-minute credit.

Give an odd number of credits only if the current number of credits a learner has is odd. This may be the case for re-enrollees who have accumulated leftover credits from their previous programs.

  • If learners report that they can't find their private class teacher in the current list, it is most likely because the teacher's available hours are already fully booked with other learners. They should schedule classes for dates far in the future.
  • If you receive feedback from a learner about private classes that you find plausible to share with the VOXY team, please slack Kristina Ekiz, who will submit the Live Instruction feedback form herself.
  • If learners ask you why teachers do not provide feedback, please advise them to ask a teacher for feedback during the last 5 minutes of the class. Private class instructors no longer provide extended feedback; instead, they only mark if the learner has met the expectations. The reason for this is that extended feedback submission was very time-consuming, and not all learners checked it.

Group Classes

  • Learners receive reminders 3 hours before the class.
  • Voxy allows 8-9 people to register for group classes at once, but the targeted attendance number is 5.
  • Learners will see the join button 5 minutes before the class starts.
  • Learners who get disconnected will not be able to join again, which helps avoid class interruptions.
  • If you receive feedback from a learner about group classes that you find plausible to share with the VOXY team, please slack Kristina Ekiz, who will submit the Live Instruction feedback form herself.

Known bug: Occasionally, after attending a group class, learners may receive an email stating that they missed the class, even if they were present. Voxy updates the data on their end to ensure that all learners who attended the group class receive credit for it. If a learner reports this to you, please submit a bug ticket and let them know that they will receive credit for attending.
